This Privacy Policy describes how Vivian Imo Psychiatry LLC, dba VIPsychiatry (“we,” “us”), collects and uses information through vipsych.com (the “Site”) — for example, through our contact and appointment-request forms, chat widget, and analytics.
This is not our HIPAA Notice of Privacy Practices. Protected health information (PHI) we create or receive while providing clinical care — such as diagnoses, treatment notes, or records in our patient portal — is governed separately by our HIPAA Notice of Privacy Practices, which we provide at intake and which should be prepared with HIPAA compliance counsel and linked from the Site in addition to this policy.
2. Information We Collect
Information you provide directly: name, phone number, email address, and any message content you submit through our contact form, appointment-request form, or chat widget.
Appointment booking: when you click through to schedule an appointment, you leave this Site and enter OptiMantra, our patient portal, which collects information under its own privacy practices and our HIPAA Notice of Privacy Practices.
Automatically collected information: standard technical data such as IP address, browser type, device type, and pages visited, collected through the Site and any analytics tools we use (see Cookies, below).
We do not collect payment card numbers, insurance IDs, or clinical/health information directly through this Site; that information is collected through our patient portal or in our office.
3. How We Use Your Information
We use the information collected through the Site to:
Respond to inquiries and requests for appointments
Communicate with you about our services
Operate, maintain, and improve the Site
Understand how visitors use the Site through analytics
Comply with legal obligations
We do not sell your personal information.

Your choices: You may contact us to ask what information we hold about you, request corrections, or opt out of marketing communications. Requests regarding your medical records are handled under our HIPAA Notice of Privacy Practices, not this policy.
Data security: We use reasonable administrative and technical safeguards to protect information submitted through the Site. No method of transmission or storage is 100% secure.
Children’s privacy: Our services are for adults age 18 and older. The Site is not directed to children, and we do not knowingly collect personal information from children under 13.
Changes to this policy: We may update this Privacy Policy from time to time; the “last updated” date below reflects the most recent revision.
